2 WEEKS TO GO. PRE-SHOW ACTIVITIES.

No matter how much experience you have or how much you plan, you will inevitably need something at the show that you didn't expect.

For example, a booth graphic may be damaged in transit and you have 10 hours to print one on-site and install it in your booth. You don't have time to wait for your graphic designer to get into the office, read your email, and upload a new file to a Dropbox account. You need it immediately.

Prepare copies of files and anything else you might need to get your hands on at a moment's notice. Bring them with you on a flash drive or laptop or create a central hub in the cloud for immediate and easy access.

In addition to graphics files, you may want to include PDF files of your collateral in case you need to print extra copies onsite because your box of collateral goes missing.

An extra copy of your speaker's presentation will be especially important.

Don't forget a master list of contact information. The name and cell phone number of your shipping carrier's driver will come in handy if you arrive at the hall before your booth does.

Emergency contact information for each of your booth staff will be needed if a member of your team becomes sick or has an accident.

Unanticipated events inevitably happen. You need to be able to respond and resolve the situation quickly.

Having easy access to files, data, documents, and contact information will enable your show to run smoothly even when a hiccup occurs.
