Create a master schedule of all deadlines, including payments, shipping, and advance orders.

You will be paying multiple vendors for pre-show materials, on-site expenses, and even post-show items. Some may require 50% payment upfront and 50% on project completion, while others may require one lump sum or multiple payments over an extended period.

Trying to keep hundreds of details straight is almost impossible unless the information is in one central place.

Shipping your booth, collateral, signage, giveaways, and other materials to the advance warehouse will save you a lot of money instead of sending everything directly to the show hall.

Also, ordering electricity, furniture, carpet, and other materials before the pre-show deadline provides additional discounts. It is critical to keep a list of all orders you will place and the corresponding pre-show or advance warehouse dates, so you don’t miss a deadline or an opportunity to save money.

Will a member of your executive team speak at the event? Keep your speaker updated on due dates for their presentation submission to the show's education committee, as well as the session date, time, and location.
