Trade Show Planner: Onsite Meetings

Your 12 month trade show checklist

Reconfirming your scheduled meetings is just one task in a large checklist you’ll need to complete as a trade show exhibitor. Review my entire pre-show, on-site, and post-show checklist of exhibitor planning activities.

Trade Show Planning:
Reconfirm Your Meeting Location with Reporters, Customers, Business Partners, Vendors, and Others

ON-SITE. AT SHOW.

Follow up with any reporter, journalist, blogger, customer, or anyone you scheduled to meet with at the show.

You most likely agreed to a meeting location weeks ago when planning your schedule, but the distance between the expo hall, attendee registration desk, badge pickup location, and presentations may be situated much further apart than it seems on the conference map included in the show guide.

Email or text the people with whom you have meetings the following day to reconfirm the time and location. If you asked a reporter to meet you in your booth an hour before the expo hall opens but the media badge does not enable them to get into the expo hall early, suggest that you meet in a comfortable seating area outside the hall but still on the convention center grounds.

If you have asked a customer to meet you at the conference registration desk but it is located a half-mile away on the other side of the convention center from the expo hall, let them know that it will be much more convenient for both of you if you meet at the expo hall entrance. You can meet there before the hall opens to attendees and then go right in once the show begins rather than having to walk long distances.
